Contact Stage Management
Because a contact’s stage/status determines which Workflow runs for them, it is critical to update that stage as soon as you know it. Your CORE Campaigns rely on consistent contact changes to trigger the right automated emails, texts, and follow-ups at the right time. In Go High Level, contact stage is managed through Opportunities and their associated Pipeline Stages — not directly on the main Contact record.
It is critical that your contacts are continuously monitored and managed at the correct stage to avoid a loss of credibility or trust. Because campaigns are designed for specific stages, your contact may receive something they do not need or, worse, not receive something they do need, because the stage of your contact is incorrect and they are receiving the wrong communications or workflow.
Key Terminology for Go High Level
- Contacts — The main record for a person (name, phone, email, tags, etc.).
- Opportunities — The sales/deal record linked to a Contact.
The Pipeline Stage – Adapted for the CORE Campaign status/stages.: Examples:
Sphere, Prospect, Buyer – New Lead, Buyer – Active Lead, Buyer – Client, Seller – Closed.
How to Change a Contact’s Stage
Option 1: Drag & Drop on the Pipeline Board (Fastest & recommended)
- Go to “Opportunities” → “Pipelines.”
- Select the pipeline to change.
- Find the contact’s Opportunity card (use search or filters if needed).
- Drag and drop the card into the desired stage column (e.g., from “Buyer – New Lead” to “Buyer – Active Lead”).
- The stage updates immediately.
Option 2: Edit the Opportunity Directly
- Go to “Opportunities” and locate the relevant Opportunity (or open the Contact record and click the linked Opportunity).
- Click the Opportunity to open its details.
- In the Opportunity view, find the Pipeline Stage field.
- Select the new stage from the dropdown list.
- Click Update or Save.
What If the Contact Has No Opportunity Yet?
Many new contacts start without an Opportunity. You’ll need to create one first:
- Open the Contact record.
- Click + Add Opportunity (or similar button in the contact profile).
- Choose your CORE pipeline.
- Select the starting Pipeline Stage (e.g., “Sphere” or “Prospect”).
- Fill in any other required fields (value, source, etc.) and save.
- This pipeline stage change triggers the new campaign workflows for this stage.
